Submission Preparation Checklist
As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.- The submission has not been previously published or submitted elsewhere for consideration, in print or electronic form (or an explanation has been provided in Comments to the Editor).
- The submission file is in the Microsoft Word, RTF, or OpenDocument file format.
- Where available, URLs for the references have been provided.
- The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
- The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in About the Press.
Author Guidelines
The series Electronic Publications of the Christian Archaeological Society prefers the submission of papers in Greek (in polytonic or monotonic system), but also accepts monographs/edited volumes in foreign languages (English, French, German, and Italian). The following guidelines apply to all five languages.
Monographs/edited volumes are submitted for review following a call for submissions announced by the ChAE.
Monographs or edited volumes submitted for review to the Electronic Publications of the Christian Archaeological Society may not be sent to another publisher before their acceptance or rejection.
Fees for obtaining permissions to reproduce in electronic format material whose copyright is owned by third parties (institutions or individuals) are the sole responsibility of the author. The ChAE is responsible for all other publication costs.
Submission for review
Monograph
- The submitted monograph must be unpublished, original, and its subject should be relevant to Byzantine and Post-Byzantine archaeology and art – monographs whose contents refer to monuments after 1830, will not be accepted.
- The length of the submitted monograph should be around 150.000 words, including footnotes, bibliography, summaries (abstract and long summary) and the list of illustrations.
- It should be accompanied by
- the title in Greek and English
- an abstract in Greek and English of not more than 500 words each
- at least four (4) keywords in Greek and in English, which outline a. the chronological period, b. the general and c. the specific topic, and d. the geographical area of the study.
- A long summary of ca. 10.000 words in a foreign language (English, French, German, or Italian)
- High quality images (photographs, maps, drawings), not more than 200.
- - The text should be submitted in one single file (pdf and word), which will include the following in the order listed: the title of the study in Greek and in English; the abstract of 500 words in Greek and in English; the keywords in Greek and in English; the text with the footnotes and the images inserted with their captions; the long summary of 10 000 words in a foreign language; the bibliography; the list of illustrations and their credits (copyright), without mentioning the name of the author (see below, Anonymity). This file should also be sent in printed form, in two (2) copies, to the Secretariat of the Christian Archaeological Society (Byzantine and Christian Museum, 22, Vas. Sophias Ave., GR-106 75 Athens, with the indication “for the Electronic Publications of ChAE”).
- In addition to the above, a separate word file should include the author’s contact details and a short biographical note (up to 150 words).
Edited volume
- The topic of the submitted edited volume must be relevant to Byzantine and Post-Byzantine archaeology and art – volumes whose contents refer to monuments after 1830, will not be accepted.
- The submitted edited volume should be accompanied by
- the title in Greek and English
- an abstract in Greek and English for the entire volume, of not more than 500 words each
- at least four (4) keywords in Greek and in English.
- Moreover, each study must be accompanied by
- the title in Greek and one foreign language (English, French, German, or Italian).
- A summary of not more than 1000 words. If the study is in Greek, the summary should be in a foreign language (English, French, German, or Italian). If the study is in a foreign language (English, French, German, or Italian), the summary must be in Greek.
- At least four (4) keywords in Greek and in one foreign language (English, French, German, or Italian) which outline a. the chronological period, b. the general and c. the specific topic, and d. the geographical area of the study.
- The text should be submitted in one single file (pdf and word), which will include the following in the order listed: the title of the edited volume in Greek and in English; the 500-word abstract in Greek and in English; the keywords in Greek and in English; the studies in the order they will appear in the publication. Each study must include: the title in Greek and one foreign language; the text with the footnotes and the images inserted with their captions; the bibliography; the list of illustrations and credits, without mentioning the name of the author (see below, Anonymity). This file should also be sent in printed form, in two (2) copies, to the Secretariat of the Christian Archaeological Society (Byzantine and Christian Museum, 22, Vas. Sophias Ave., GR-106 75 Athens, with the indication “for the Electronic Publications of ChAE”).
- In addition to the above, a separate word file should include the contact details of the authors and a short biographical note (up to 80 words) for each author.
Anonymity
In order to ensure the integrity of the review process for the monographs and edited volumes submitted for publication, every possible effort should be made to avoid the authors’ names becoming known to reviewers. To achieve this purpose:
- Authors should have removed their names from the submitted text, whereas references to previous books and articles by them should be in the third person.
- In Microsoft Office files, the author’s name should be removed from the file properties (on the menu of commands for Word files) as follows: File > Save As > Tools (Options on Mac) > Security Options (Security) > Remove personal information from file properties when saving > Save. For pdf files, authors’ names should be removed from the File Properties on the file commands menu of Adobe Acrobat.
Reviewing of submissions
All monographs or edited volumes submitted are assessed by the editorial board regarding their relevance to Early Christian, Byzantine and Post-Byzantine art and archaeology, their scholarly value, and their compliance with the publication guidelines outlined above. If a submitted study does not fulfill one of the above criteria, the editorial board reserves the right to reject it immediately.
Submissions that fulfill the above requirements are forwarded anonymously to two (2) external reviewers who specialize in relevant fields and whose names are not disclosed. The reviewers evaluate the submitted manuscript on the basis of the following criteria:
- Originality
- Contribution to scholarship
- Structure and composition of text
Taking into consideration the outcome of the peer review process, the editorial board announces to authors/editors the acceptance (as they are or following some changes) or rejection of their studies. In cases of diverging reports, the monograph/edited volume is sent to a third reviewer. The selection procedure shall not extend beyond six (6) months.
Submission of revised versions of monographs/ edited volumes
If a monograph/ edited volume / study is accepted on condition that the text be revised on the basis of reviewers’ suggestions, the author/ editor is required to make these changes within three (3) months. The revised form of each article should be written following the suggestions for corrections/improvements requested by the reviewers, otherwise the authors should explain the reasons for not accepting them. Revised studies should be formatted in accordance with the Guidelines provided below (in the section ‘Final Submission guidelines’). Accompanying illustrations, tables, graphs, etc., together with the permissions regarding copyright should be submitted together with the revised form of the manuscript.
Revised monographs/ edited volumes will be forwarded for the final stages of publication (i.e. copy editing, layout) only upon receipt of all the required documentation and permissions (i.e. images, plans, permissions to reproduce images), and on condition that the revised text complies with the publisher’s guidelines. The authors reserve the right to examine their edited manuscript and to submit their comments on the changes within a reasonable time set by the publication editors. After the submission of the final version of the electronic manuscript, no changes are permitted. The Electronic Publications of the Christian Archaeological Society are committed to complete the publication process within twelve (12) months from the day the final text and all illustrations are submitted.
Guidelines for final submission of monographs/ edited volumes.
Monograph
The following should be submitted as separate electronic files (the name of each file should consist of the author’s last name and a characteristic abbreviation for the file’s title in accordance with the examples below):
- Text in Microsoft Word and in pdf format, a total of two files (e.g. PalaiologosText.doc and PalaiologosText.pdf). The following should be included in this file in the order listed:
- Title of the monograph, in Greek and English,
- Author’s name,
- Affiliation,
- Full mailing address,
- email,
- Phone number,
- Abstract of the monograph in Greek and English,
- Keywords in Greek and English,
- Body text with footnotes, with indications of the exact place of each illustration (with the phrase “Insert Fig. XX” in the appropriate place)
- Long summary, including the title
- List of Illustrations continuously numbered using Arabic numerals, together with captions and credit lines, and
- Short biographical note.
- Bibliography in two files, word and pdf (e.g. PalaiologosBibliography.doc and PalaiologosBibliography.pdf)
- Illustrations (photographs, drawings, maps), each as a separate tiff or jpg file. The title of the file includes the author’s last name and its number in the text (e.g. PalaiologosFigure1.tiff).
- Appendices or catalogs (where applicable) in two files, word and pdf, per appendix/catalog (e.g. PalaiologosAppendix1.doc and PalaiologosAppendix1.pdf).
- A signed letter to the series editors, which should include the following:
- An indication whether the reviewers’ remarks were accepted, or, if not, the reasons.
- An indication of any changes to the title and abstract and the reasons these were made.
- A list of all electronic files submitted, together with the final version of the study and their contents.
- A signed Author’s Warranty and Agreement form concerning intellectual property rights to the original. The Agreement should be addressed to the Secretariat of the Christian Archaeological Society, Byzantine and Christian Museum, 22, Vas. Sophias Ave., GR-106 75 Athens, with the indication “for the Electronic Publications of ChAE”). Among other things, there should be confirmation that the author has been granted publication permission for monuments or objects, and for the entirety of documentation material (photos, plans, etc.) included in the monograph to be published.
By submitting a monograph for publication to the Electronic Publications of the ChAE the author assumes responsibility for adhering to intellectual property rights law, assures that no violation is being caused to the intellectual property rights of third parties, and accepts unreservedly the copyright policies of the Electronic Publications of the ChAE.
The submitted files should comply with the Guidelines outlined below.
Edited volume
The following should be submitted as separate electronic files(the name of each file should consist of the editor’s or author’s last name and a characteristic abbreviation for the file’s title in accordance with the examples below):
- Text in Microsoft Word and in pdf format, a total of two files (e.g. PalaiologosText.doc and PalaiologosText.pdf). The following should be included in this file in the order listed:
- Title of the edited volume in Greek and in English
- Editor’s name,
- Affiliation,

- The individual studies. Each study should include the following in the order listed:
- Title in Greek and in one foreign language (English, French, German, Italian),
- Author’s name,
- Summary in Greek or foreign language (English, French, German, Italian),
- Keywords in Greek and in one foreign language (English, French, German, Italian),
- Body of the text with footnotes, with indications of the exact place of each illustration (with the phrase “Insert Fig. XX” in the appropriate place),
- Bibliography,
- list of Illustrations continuously numbered using Arab numerals, together with captions and credit lines.
- Contact details of the contributors in alphabetical order in two files, word and pdf (e.g. PalaiologosContactDetails.doc and PalaiologosContactDetails.pdf)
- Illustrations (photographs, drawings, maps), each as a separate tiff or jpg file. The title of the file includes the author’s last name and its number in the text (e.g PalaiologosFigure1.tiff).
- Appendices or catalogs (where applicable) in two files, word and pdf, for each author and for each appendix/catalog (e.g. PalaiologosAppendix1.doc and PalaiologosAppendix1.pdf).
- Each contributor (editors and authors) should submit a signed letter to the series editors, which should include the following:

Guidelines
Text Formatting
Manuscripts should be submitted in Unicode (Arial Unicode, Palatino Linotype Unicode, etc.). The font size should be 12 for the text and 11 for the footnotes. Line spacing should remain at 1.5 lines throughout the text (including footnotes).
Quotations
Quotations from ancient and medieval sources appear in italics and follow the polytonic system if in Greek. Quotations from modern authors should be in normal font (non-italics) within quotation marks (double inverted commas); if in Greek, they should be in polytonic or monotonic, depending on the original text quoted.
Numbers and Measurements
In continuous text whole numbers from one through nine are spelled out. Numbers larger than nine are given in Arabic numerals, unless the number appears at the start of a sentence, in which case it is written out in full.
Measurement units should be written using numerals and not in full (e.g. 2 cm.).
All measurement units must follow the metric system.
Footnotes and bibliography
Bibliographical references are given as footnotes and not as endnotes.
Footnotes and bibliography follow the Chicago Manual of Style (Notes and Bibliography). For a relevant example, see https://www.chicagomanualofstyle.org/tools_citationguide.html.
If a title cited in the bibliography is available online, it is accompanied by an active link and a persistent identifier.
All Greek titles cited in the footnotes should be given in their original form: polytonic for works using the polytonic system, monotonic for works following the monotonic system.
For studies submitted in all other languages except Greek, titles are given in their original language, but titles in the Cyrillic, Arabic, Georgian, Armenian script etc. should be transliterated into the Latin script based on the transliteration rules of the Library of Congress (Library of Congress Romanization Tables).
In studies submitted in Greek, the names of authors of foreign-language publications in the notes remain as they are, but places of publication are written in Greek when Greek terms are applicable (e.g. Λονδίνο, Παρίσι). If not, they remain in their original version (e.g. Princeton, Amsterdam).
Figures (photographs, drawings/plans, maps)
- Permissions for reproduction
It is the author’s sole responsibility to secure the required permissions for the reproduction of material in print and electronic format if copyright for this material is held by third parties (whether institutions or individuals) on the basis of the stipulations set forth in the Author’s Warranty and Agreement (in the section ‘Guidelines for final submissions of articles to be published’). Paying fees is the responsibility of the author.
Texts of studies must include the captions to the figures. The latter, regardless of whether they are plans, photographs, or maps, should be numbered continuously in Arabic numerals in the order in which they appear in the text. In-text references to figures are given in parenthesis, e.g. (Fig. 2) or (Figs 2, 3) or (Figs 2-4).
- Captions
All illustrations (images, drawings/plans and maps) should be accompanied by captions and submitted as indicated above (in the section ‘Guidelines for final submission’). If another party holds the copyright, credit should abide by the decisions of the copyright holder.
Images
Digital images should be submitted in separate tiff or jpeg files at a resolution of 350 dpi or higher. Poor-quality images that do not meet the series’ standards will be rejected.
Maps and Charts
All drawings, maps, and charts should be submitted as tiff files or line art or bitmap, at a resolution of 1200 dpi or higher. Large files should be compressed using LZW compression format.
Publication costs
Permission fees for material whose copyright is held by third parties (whether institutions or individuals) are the author’s sole responsibility. All other publication costs are incurred by the ChAE.
Scientific Ethics
The Electronic Publications of the Christian Archaeological Society comply with the rules of scientific and publication ethics and condemn all cases of plagiarism, falsification of facts, and copyright infringement.
Copyright Notice
The authors of monographs/ edited volumes published in the series Electronic Publications of the Christian Archaeological Society hold copyright for their work and assign copyright for first publication to the publisher. The use of the content of these publications is determined by the Creative Commons License Attribution – Non Commercial Use – No Derivatives 4.0 International (CC BY-NC-ND: http://creativecommons.org/licenses/by-nc-nd/4.0/deed.el)
